Budget using actual product cost

For an operational gifting budget, start with what the product costs your business, not its selling price. Add the shipping expense for each recipient; include packaging in that fulfillment estimate if you want the budget to cover it. A box described as having a retail value of 100 may cost substantially less or more than you expect to prepare and deliver, depending on sourcing, packing, destination, and handling. Enter your own costs rather than treating any example as a benchmark.

The worksheet uses a single per-recipient estimate. If the campaign includes different bundles or destinations, calculate each group separately and combine the totals in your campaign plan. Include multiple items in the product-cost input when each creator receives a set. Document whether warehouse labor is already included; otherwise, keep a separate allowance instead of assuming packing happens without cost.

Separate fulfillment from commercial commitments

Sending a gift does not by itself define content deliverables, a posting date, usage rights, or a commission arrangement. Record what the creator actually agreed to before shipping. If there is an additional content fee, include it in your broader campaign budget. The calculator estimates gift costs and cost per expected post from your entered posting-rate assumption. It cannot establish the value of the content or whether any particular recipient will publish.

Collect the information needed to fulfill the gift reliably, such as the correct variant and a confirmed delivery destination, through your normal process. Do not put personal addresses into public campaign links or briefs. Track dispatch and receipt so that a missing delivery is not mistaken for creator inactivity. Any customs, duties, replacement shipments, or unusual delivery charges need a separate estimate if they are outside your inputs.

Design a pilot that produces useful evidence

Choose recipients based on relevant audience and product fit rather than only the maximum number your budget can cover. A smaller confirmed group can make it easier to learn whether creators understand and use the product. Define the campaign objective before spending: product feedback, agreed content, qualified visits, and attributed sales require different follow-up and should not be treated as interchangeable success measures.

After the pilot, reconcile actual product and shipping costs against the estimate and record each intended outcome separately. Do not divide total gifting cost by every recipient and call that customer acquisition cost; recipients are creators, not necessarily acquired customers. If sales are the objective, use verified customer and order data in the ROI or CAC worksheet. Keep the cost of unsuccessful shipments in the final review.

Worked example: twelve product kits

An illustrative kit costs 22 in inventory and 10 to ship including packaging. At 12 recipients, gifting expense is 384. An assumed 50% posting rate gives 6 expected posts and 64 per expected post. This is not a posting benchmark or guarantee. A kit’s retail price, creator fees, and unentered reshipment costs do not change the displayed fulfillment budget.

Should the product input use retail price?

Use actual product cost for this fulfillment budget. You may record retail value separately for communication, but it is not the same as the expense being modeled.

Does a gift guarantee a creator will post?

No. Document any agreed deliverables separately. The worksheet estimates cost and does not assume posting, sales, or permission to reuse content.

How should I choose the expected posting rate?

Use comparable observed outcomes when available, or label the value as an assumption and test several cases. At zero expected posts, cost per post is undefined; sending gifts still incurs the budgeted expense.
